Receptionist/Administrative Assistant

Yaletown Accounting is a small boutique accounting firm located in the heart of Yaletown. Our office is surrounded by great restaurants, easily accessible by transit and just a short walk to the sea wall. We specialize in Canadian and US personal tax returns along with bookkeeping services for small business clients. We take pride in providing friendly, personalized service and building long term relationships with our clients.

We’re looking for a full-time, permanent Receptionist/Administrative Assistant to become an important part of our team. This role is a highly client-facing role and is ideal for someone who genuinely enjoys meeting new people, building relationships, and providing exceptional customer service. As the first point of contact for our clients, you’ll play an important role in creating a friendly, professional and welcoming experience in person, over the phone and by email.

Main responsibilities of the position include

· Answering incoming phone calls and assist clients with general inquiries

· Schedule appointments and assist clients visiting the office

· Respond promptly and professionally to client emails using Outlook

· Data entry of client tax information using Adobe Acrobat and Intuit Profile (tax software)

· Process incoming and outgoing mail and courier packages

· Maintain organized client files and assist with general office administration

· Support the team with a variety of administrative tasks as needed

Skills we are looking for

· Confidence interacting with clients to create a welcoming, professional first impression

· Strong work ethic, positive attitude and the desire to learn

· Excellent verbal and written communication skills

· A friendly, outgoing personality with a genuine passion for customer service

· Strong attention to detail and time management skills

· The ability to remain calm and professional under pressure

· Experience with Outlook, Word and Excel is an asset but not required

Work details

· Full-time permanent (some flexibility may be available for the right candidate)

· Monday to Friday 9am to 5pm – no evenings or weekends required

· Pay range is $20 to $30 per hour based on experience

· Benefits are available after 90 days of employment

· Remote work is not available
