Position: Part-Time Receptionist / Administrative Assistant

ICE21 is a growing medical aesthetics clinic specializing in advanced facial and body treatments. We are looking for a professional, friendly, highly organized, and reliable Receptionist / Administrative Assistant to join our team.

This is a client-facing position, and you will be one of the first people our clients interact with. We are looking for someone who is confident working with people, provides exceptional customer service, and takes pride in maintaining a clean, organized, and professional clinic environment.

What We’re Looking For

  • Minimum 1 year of customer service experience, preferably working directly with Canadian clients
  • Excellent English communication skills — strong spoken and written English is required
  • Confident and professional when communicating with clients in person and over the phone
  • Friendly, approachable, and comfortable interacting with a wide variety of clients
  • Highly organized and detail-oriented
  • Able to maintain an exceptionally clean, organized, and professional environment
  • Comfortable multitasking and managing a busy front desk
  • Able to remain calm, professional, and solution-focused when handling client concerns
  • Comfortable using computers, booking systems, email, and other software
  • Proactive and able to recognize what needs to be done without constant direction
  • Reliable, responsible, punctual, and consistent
  • Previous sales experience is an asset but not required
  • Experience in a medical spa, beauty clinic, wellness clinic, or similar environment is an asset
Responsibilities
  • Welcome and assist clients in a warm, friendly, and professional manner
  • Answer phone calls, emails, and client inquiries
  • Confirm, schedule, and manage client appointments
  • Process client payments and automatic payments
  • Maintain an organized and professional front desk and reception area
  • Help maintain a high standard of cleanliness and organization throughout the clinic
  • Perform inventory counts and assist with stock organization
  • Respond to client questions and concerns professionally and efficiently
  • Support the team with daily administrative tasks
  • Ensure the clinic is organized, presentable, and running smoothly throughout the day
  • Assist with other front desk and administrative duties as needed
Schedule Part-Time – 6 days per week

Sunday–Friday | Saturday Off

10:00 AM – 3:00 PM

You genuinely enjoy working with people and understand the importance of creating a positive client experience. You are naturally organized, pay attention to details, and take pride in keeping your workplace clean, professional, and welcoming.

You are someone who takes initiative, works well independently, and does not need to be constantly reminded about daily responsibilities. You understand that a successful front desk requires reliability, professionalism, organization, and excellent communication.

We are looking for someone who can take ownership of the front desk and help ensure that both our clients and our team have a smooth experience every day.
